How to prepare meeting date options with explicit time zones
Written by the AccountHub team.

Turn your calendar into time-zone-aware options
With AccountHub, you can ask an AI to read your connected Google Calendars and format your own open slots with the date, weekday, start and end time, source time zone, and a conversion for the other region. This makes a message such as Tuesday at 3 p.m. easier to understand across borders. The other person’s availability remains a question for their reply.
Keep the source of availability clear
Work and personal calendars may need to be checked together. Read only your own schedule, select slots you can actually offer, and say that the options reflect your calendar. Do not infer that the recipient is free.
A standard calendar check may be enough
Open Google Calendar for the date range and set the display time zone. Check travel or personal blocks in other accounts before calling a slot available. When you paste options into an email, include the full date, weekday, start and end time, and your time zone. If you know the recipient’s region, add a conversion in parentheses without labeling it as their availability.
Read several calendars with AccountHub
If switching between accounts is cumbersome, connect the calendars you need to AccountHub and ask the AI to read your schedule only. It can organize candidates across connected sources and show provenance. This does not mean the other person’s calendar is accessible, and it does not require automatically creating an event.
Replace the brackets with your real period and time zones:
Read only my connected Google Calendars from [start date] through [end date]. Find up to three uninterrupted 60-minute slots for a meeting. For every option, show the full date, weekday, start and end time, and [my time zone]. Also show the converted time in [recipient time zone]. Do not guess the other person’s availability, and do not create or edit any event. If a slot is excluded because of a conflict, state the reason.
A candidate message
A fictional result might be:
Option 1: Tuesday, November 3, 2026, 15:00–16:00 Asia/Tokyo (Monday, November 2, 22:00–23:00 America/Los_Angeles). Option 2: Thursday, November 5, 2026, 10:00–11:00 Asia/Tokyo (Wednesday, November 4, 17:00–18:00 America/Los_Angeles). Please tell me which option works for you. These options reflect my calendar only.
Never omit a date when daylight saving time or a date boundary is involved. Check an AI’s conversion against the calendar’s time-zone setting. A free slot remains a proposal until the other person confirms it.
Try a small free example
Replace the example fields with a real period and time zones, and start with one week of calendar data that you are comfortable sharing. AccountHub is free to use, but the in-app AI trial has a daily limit. Google Calendar permissions, the other person’s service, and your AI service plan have separate conditions. Avoid sending private event names when an availability-only result is enough.
